How to send a fee reminder on WhatsApp

Short answer

Send the reminder three days before the due date, not after it. Keep it to three lines: the child's name, the amount, and a payment link. Write it the way you would speak to that parent in person, and never send the same message twice in a week. A tutor using FeeSaathi sends all of them in one tap with the link attached.

The three rules that decide whether you get paid

1. Send before the date, not after

A reminder that lands three days before the fee is due reads as helpful. The same words two days after it was due read as chasing. Sending early also removes the only excuse that works, which is that the parent forgot.

2. Three lines, no more

Name the child, name the amount, give the link. A long message invites a long reply, and a long reply is usually a negotiation.

3. Put the payment link in the same message

If the parent has to ask for your UPI ID, you have added a step and a day. The link belongs in the first message, every time.

Fee reminder templates you can copy

Hinglish, three days before due

Namaste 🙏 Aarav ki October ki fees ₹2,500 due hai, 5 tareekh tak. Pay link neeche hai, ek tap mein ho jayegi. Dhanyavaad.

English, three days before due

Good morning. Aarav's tuition fee for October is ₹2,500, due on the 5th. You can pay with the link below. Thank you.

Hinglish, the day after

Namaste. Aarav ki October fees abhi pending hai. Link neeche hai, jab convenient ho kar dijiyega.

When a parent has gone quiet for two weeks

Namaste. Aarav ki fees ab do hafte se pending hai. Agar koi dikkat hai to bata dijiye, hum kuch aur arrange kar lenge. Warna link neeche hai.

That last one matters. Offering a way out costs you nothing and it is the message that most often gets a reply, because it stops being a demand.

When to send

TimingWhat to sendWhy
3 days before dueThe main reminder with the linkRemoves the forgot excuse
Due dateNothingLet the date do the work
3 days afterA short, softer nudgeReads as a follow-up, not a demand
2 weeks afterThe offer-a-way-out messageGets a reply where a demand gets silence

How to attach a UPI payment link

You have two options. You can paste your own UPI ID and ask the parent to open their payments app, which works but adds steps. Or you can send a payment link that opens their app with the amount already filled in, which is what a collection tool does.

FeeSaathi generates the link per student per month, attaches it to the message, and marks the due as paid when the money lands, so you are not reconciling anything by hand.

What not to do

Questions tutors ask

What is the best time of day to send a fee reminder?

Mid-morning on a weekday, roughly between 10am and noon. The parent is awake, at work, and able to act on a payment link. Avoid evenings and avoid Sunday.

Should fee reminders be in Hindi or English?

Use whatever language you already use with that parent. Most Indian tutors get the warmest response in Hinglish, because it reads as a person rather than a system.

How many times should I remind before stopping?

Three messages across a month is the practical ceiling: one before the due date, one a few days after, and one around the two-week mark that offers to discuss it. Beyond that, a phone call does more than a fourth message.

Can I automate WhatsApp fee reminders?

Yes. A collection tool generates the month's dues, writes each message in your name with the amount and a payment link, and sends them together. FeeSaathi does this in one tap and is free for the first 10 students.

Is it rude to send a fee reminder on WhatsApp?

No, if it is short, early and polite. Parents generally prefer a message to a phone call about money, because a message can be dealt with quietly.
